Datenschutzerklärung

Stand:

  • Unser Server steht in Deutschland.

3. Was wir verarbeiten und wozu

3.1 Konto

  • deine Sitzung (Anmeldetoken mit Kennung, E-Mail-Adresse und Name), auf dem iPhone im Schlüsselbund und auf Android im geschützten Speicher, beide nur für dieses Gerät;
  • Bewertungen, die noch nicht beim Server angekommen sind, bis sie gesendet sind;
  • einen angetippten Einladungscode, bis du beigetreten bist, längstens 72 Stunden;
  • deine Sprache und ob Hinweise schon gezeigt wurden, ohne Bezug zu deinem Konto;
  • eine Kennung der Installation für Benachrichtigungen (nur in der App);

Google dabei Daten in eigener Verantwortung.

5. Wie lange Daten bleiben

  • Konto, Bewertungen, Gruppe, Namensfindungen: bis du dein Konto löschst; was danach bleibt, steht in Abschnitt 7.

6. Wer in der App was sieht

10. Was du angeben musst

English version

Privacy policy

Last updated:

This policy covers the Duocuna app for iOS and Android, the web app at app.duocuna.com and the website duocuna.com. It tells you which data arise, what they are for, who receives them and how long they are kept.

1. Controller

Dimitri Wolf, trading as “Selftronix”
c/o Autorenglück #62466
Albert-Einstein-Str. 47
02977 Hoyerswerda
Email: kontakt@duocuna.com

Selftronix is not a separate legal entity but the name under which Dimitri Wolf offers projects such as Duocuna. There is no data protection officer; none is required. For any question about your data, write to kontakt@duocuna.com.

2. In short

  • We process only what the app needs to work: your account, your ratings, your group, and what sign-in, notifications and secure operation require.
  • There is no advertising, no tracking, no analysis of your behaviour and no consent banner, because none of that happens.
  • Our server is in Germany. Data only go elsewhere where a service requires it – for example to Expo, Apple or Google for notifications.
  • You can delete your account yourself at any time. What remains for a short while afterwards is set out in section 7.

3. What we process and why

3.1 Account

For an account we store your email address, your password (only as an irreversible hash), your display name, your language, the four notification switches, and when you registered, confirmed your address, last signed in and finished the introduction. Your account is identified by a random ID.

The purpose is to provide the app to you. The legal basis is the contract for using Duocuna(Art. 6(1)(b) GDPR) that you enter into by registering under the terms of use.

3.2 Signing in with Google or Apple

If you sign in with Google, Google gives us your name, your email address, your Google ID and the address of your profile picture. We do not use the profile picture and never display it; its address is, however, stored with the other details from Google until you delete your account.

If you sign in with Apple, we receive your Apple ID for this app and your email address – a forwarding address from Apple if you choose – and, the first time, your name. On the iPhone the app checks at start whether your Apple sign-in is still valid and signs you out if you have ended it at Apple.

The sign-in itself happens at Google or Apple, who are responsible for it themselves; their own privacy notices cover what they process. The legal basis for our part is the contract (Art. 6(1)(b) GDPR).

3.3 Sessions and sign-in security

While you are signed in, a session exists. With it we store the IP address and the identifier of your browser or device (user agent); both are replaced by the current values each time the session is refreshed. In addition there are tokens that refresh the session, and short-lived data for confirming your address, resetting your password and signing in with Google or Apple.

The sign-in service also keeps a log of sign-ins, sign-outs and refreshed sessions with ID, email address, type of event and user agent.

The purpose is secure sign-in, detecting misuse and limiting sign-in attempts. The legal basis is the contract (Art. 6(1)(b) GDPR) and our legitimate interest in secure operation (Art. 6(1)(f) GDPR).

While the app is connected to the server to show changes immediately, the server keeps the details from your sign-in token (ID, email address, name) for that connection; they disappear with the connection.

3.4 Finding a name

When you rate names, we store your ratings (like, dislike), your ranking of matches, whether you share it with your partner, and the name searches with their state. A match arises when you both like the same name; anyone who sees the matches of a shared name search therefore also sees that you liked these names.

When a name search is completed, it stays in the archive of everyone who took part, with a participant list of display names.

If someone leaves the group or is removed, a running shared name search is split: the remaining person keeps it, the leaving person gets their own copy with their ratings, the shared matches, their ranking and the shared favourite. The shared matches are then held by both.

The legal basis is the contract (Art. 6(1)(b) GDPR).

3.5 Group and invitation

For a group we store who created it, who is a member and since when, the invitation code and when it expires. Your partner sees your display name. Anyone who has your invitation code and is signed in to the app sees your display name before joining, so it is clear whose group it is.

If someone enters a wrong code, we store the attempt with ID and time to limit guessing of codes.

The legal basis is the contract (Art. 6(1)(b) GDPR); for limiting attempts, our legitimate interest in protecting groups (Art. 6(1)(f) GDPR).

3.6 Notifications

The app notifies you when your partner joins, a new match arises, your partner proposes to complete, or leaves the group. We store each notification with its type, name search and group; it also appears in the app.

If you allow notifications on your device, the app registers with Expo’s push service. Expo receives an installation ID, the app’s ID, the device token from Apple or Google and your IP address; it returns a push token, which we store with your device’s platform. For each notification we send Expo the token, a short neutral text in your account’s language and IDs that let the app open the right place when tapped. A notification never contains a baby name or a display name. Expo passes it to Apple’s push service (iPhone) or Google’s (Firebase Cloud Messaging, Android), which deliver it. For each delivery we keep a record with the token, Expo’s response and any error.

The four switches in your profile decide which notifications your device receives. When you sign out, the app removes the push token of this device.

The legal basis is the contract (Art. 6(1)(b) GDPR). You grant permission for notifications in your device settings and can withdraw it there at any time.

3.7 Emails

To confirm your address and to reset your password we send you emails with a link. They are sent via Mailjet, which receives your email address and the content of the email for this. We do not send advertising.

If you write to kontakt@duocuna.com, we process your message and your address to reply. The mailbox is hosted by ALL-INKL.COM in Germany.

The legal basis is the contract (Art. 6(1)(b) GDPR); for requests about your rights, our legal obligation to answer them (Art. 6(1)(c) GDPR).

3.8 Service logs

The services on our server write logs, as is usual for secure operation:

  • The sign-in service logs each request with IP address, time, method, path and status, and sign-in events with ID, email address and user agent.
  • The API gateway logs each request with time, path including query, status and user agent. The path can contain your ID, because the app queries its data by it.
  • The web server of duocuna.com logs each visit with IP address, time, requested address and user agent (section 3.11).
  • The database logs each account deletion with the ID, without email address – so that we can delete an account again if a backup brings it back (section 3.9).

The purpose is to find errors and to detect and fend off attacks. The legal basis is our legitimate interest in secure and working operation (Art. 6(1)(f) GDPR).

3.9 Backups

Once a day we back up the database on the server and, encrypted, to storage at Hetzner in Germany. A backup contains all data from sections 3.1 to 3.6 at the time of the backup, including data of accounts deleted afterwards. We use backups only to restore service after an outage or error. If a backup brings back an account deleted afterwards, we delete it again before the service reopens.

The legal basis is our legitimate interest in the availability of the service and in protecting your data against loss (Art. 6(1)(f) GDPR).

3.10 Data on your device and in your browser

The app stores on your device what it needs to work:

  • your session (sign-in token with ID, email address and name), on the iPhone in the keychain and on Android in protected storage, both for this device only;
  • ratings that have not yet reached the server, until they are sent;
  • an invitation code you tapped, until you have joined, at most 72 hours;
  • your language and whether hints have been shown, not linked to your account;
  • an installation ID for notifications (in the app only);
  • the tab you last chose per account and, on the iPhone, whether you signed in with Apple.

When you sign out or delete your account, the app removes the session, unsent ratings and the invitation code. The chosen tab with your account ID and, on the iPhone, the Apple flag remain until you uninstall the app or clear the site data; so do language, hints and the installation ID.

In the web app, the same data are kept in your browser’s local storage (localStorage). We do not use cookies.

On the iPhone, these data are excluded from iCloud backup. On Android, the session is excluded from backup; some settings of the app and its libraries (such as notification channels and the device token for notifications) may end up in your Android backup at Google if you have switched it on. Google manages this backup for you; it contains no data of your account with us.

Storing and reading data on your device is strictly necessary for the service you use (Section 25(2) no. 2 of the German Telecommunications Digital Services Data Protection Act, TDDDG); further processing is based on the contract (Art. 6(1)(b) GDPR).

3.11 The website duocuna.com

The website shows information about Duocuna and the invitation page at duocuna.com/join/…. For each visit the web server logs the IP address, the time, the requested address and the user agent. For an invitation, the address contains the invitation code. The invitation page asks our server whether the code is valid; neither your name nor that of the inviting person is shown.

The website and the web app load nothing from other providers – no fonts, no scripts, no images – and set no cookies.

The legal basis is our legitimate interest in operating the website securely (Art. 6(1)(f) GDPR).

3.12 Links to other sites and app stores

Under “Data sources & licences” the app links to the sources of the first names and their licences (such as Statistik Austria, the City of Munich, Wikidata, Creative Commons). If you tap a link, the page opens in your browser; its provider receives your IP address and is responsible for their own page.

If you download Duocuna from the App Store or Google Play, Apple or Google process data under their own responsibility. The stores only show us aggregate figures and, if you have allowed it on your device, crash reports not linked to your account.

4. Recipients and transfers to third countries

Our data are on a server at Hetzner in Germany. These service providers process data on our behalf:

For signing in with Google or Apple, Google Ireland Limited and Apple Distribution International Limited (both Ireland) are responsible themselves; under their own rules they also transfer data to the USA.

Let’s Encrypt (certificates for encryption) and Better Stack (availability monitoring) receive no personal data: Let’s Encrypt only knows the names of our addresses, Better Stack only calls public check addresses.

We do not sell data and do not pass them on to anyone else unless the law requires us to.

5. How long data are kept

  • Account, ratings, group, name searches: until you delete your account; what remains afterwards is set out in section 7.
  • Sessions with IP address and user agent: until you sign out or delete your account; the address is overwritten on every refresh.
  • Data of a sign-in in progress with Google or Apple or via a confirmation or password reset link: until the sign-in service clears them, at the earliest after one day; this also applies if you delete your account before then.
  • Links for confirmation and password reset: until used or until you delete your account.
  • Wrong invitation codes: one day; they are deleted at your next attempt, at the latest with your account.
  • Notifications and delivery records: 30 days.
  • Data for sending to Expo: until sent, a few seconds; Expo’s responses 6 hours.
  • Delivery receipts at Expo: 24 hours (according to Expo).
  • Registration of your device at Expo: as long as Expo needs it for the service (according to Expo).
  • Sign-in log: 14 days; your entries are deleted immediately with your account.
  • Service and web server logs: 14 days.
  • Backups: 14 days. If a daily backup fails, the most recent one remains until the next successful one.
  • Emails at Mailjet: according to Mailjet’s periods for sending.
  • Messages to kontakt@duocuna.com: until the request is dealt with; we keep requests about your rights for three years afterwards to be able to show how they were handled.

6. Who sees what in the app

  • Your partner sees your display name, your shared matches, and your ranking only if you share it.
  • Anyone with your invitation code sees your display name before joining.
  • Everyone who took part in a completed name search sees the participant list with display names and the matches in their archive.
  • Nobody sees your ratings of individual names; only what has become a match is visible.

7. When you delete your account

You delete your account in the app or the web app under the “Profile” tab, “Delete account”, or by email from your account’s address to kontakt@duocuna.com. The page duocuna.com/konto-loeschen describes all three ways.

If you signed in with Apple on the iPhone, you also confirm the deletion with Apple. Our server then ends your Apple sign-in at Apple; the data from Apple needed for this are deleted afterwards. If you cancel at Apple, nothing is deleted; the web app and email remain. On these two ways and on Android, you end the Apple sign-in yourself in your Apple Account settings – on an Apple device or at account.apple.com – under “Sign in with Apple”.

Deleted immediately are your account with all details from sections 3.1 and 3.2, your sessions, memberships, ratings, rankings, sharing settings, archive access, push tokens, notifications with their delivery records, your wrong invitation codes and your entries in the sign-in log. Name searches and archives that only you can see are deleted entirely. An open invitation code expires.

What remains:

  • With your partner and in archives: A running shared name search is archived for your partner. In every participant list that names you, your display name remains, marked as deleted and without a link to your account; people with access see “{name}’s account has been deleted.” The shared matches and the shared favourite remain in their name searches and archives, as do copies from an earlier split (section 3.4). All of this disappears once nobody has access any more.
  • A group in which someone remains stays, without reference to you.
  • Data of a sign-in in progress until the sign-in service clears them (section 5).
  • Logs and backups until their 14-day period ends.
  • At Expo, delivery receipts for up to 24 hours and your device registration under Expo’s rules.
  • At Mailjet, sent emails under Mailjet’s periods.
  • Your deletion request by email for up to three years, as evidence.
  • On your device, the data from section 3.10 not removed on sign-out, until you uninstall the app; in an Android backup at Google, whatever it contains, until you delete it there.

8. Your rights

You have the right of access to your data (Art. 15 GDPR), to rectification (Art. 16), to erasure (Art. 17), to restriction of processing (Art. 18), to data portability (Art. 20) and to object to processing based on our legitimate interest (Art. 21). You change your display name and language yourself in your profile.

How a request works: Write to kontakt@duocuna.com, preferably from your account’s address – that is how we know it is you. If the request comes from another address, we ask you to confirm it from the account’s address. We reply within one month. For access, we compile all data in the database for your account, plus the entries in the logs of the last 14 days. We confirm a deletion by email once it is done.

Complaints: You can lodge a complaint with a data protection supervisory authority, in particular in the country where you live or work, or with the authority responsible for us.

9. What we do not do

No tracking, no analytics or advertising services, no sharing for advertising, no sale of data. There is no automated decision about you within the meaning of Art. 22 GDPR; which names the app shows you follows only your settings and ratings.

10. What you need to provide

For an account we need an email address and a password, or a sign-in with Google or Apple. Without them Duocuna cannot be used. A display name is needed so that your partner recognises you. Duocuna is intended for people aged 18 and over.

11. Changes

If the way we process data changes, we update this policy. The date at the top shows the current version. We inform you about significant changes in the app.
